Frequently asked questions
What devices does TradePay run on?
iPhone and iPad on iOS/iPadOS 18.6 or later, and Mac on macOS 15.6 or later. It's a real Mac app, not a stretched iPad one. One purchase covers every device signed into the same Apple ID.
What's free, and what does the purchase unlock?
Every feature is free for your first 3 documents — branding, PDFs, email, payments, payment links, W-9, reports, and iCloud sync all included. After that it's a single $24.99 purchase in Settings → TradePay Pro that unlocks unlimited documents for good. No subscription. The free limit counts across all your companies, and the sample Demo Company doesn't count toward it.
Does TradePay process payments or take a cut?
No. TradePay records the payments you receive and shows your customer how to pay you — your own Zelle, Venmo, PayPal, or Cash App details as links in the email and QR codes on the invoice. The money goes directly to you through those services. TradePay takes no percentage, never touches the transaction, and never learns whether a payment happened; you record it yourself.
My tax is $0 even though I set a tax rate.
Tax only applies to line items flagged Taxable, and new lines start out untaxed. Tap a line to expand it and turn Taxable on. Better: set the taxable flag on your saved items in Settings → Items, and every line created from them starts out correct.
How does iCloud sync work? Can I use it offline?
Companies, clients, documents, payments, and saved items sync through your own iCloud account across iPhone, iPad, and Mac. There's no TradePay account and no server of ours involved. It works fully offline — if iCloud isn't available, everything saves locally and Settings → Sync shows "This Device Only". Nothing is ever deleted because sync is unavailable. Two things stay local on purpose: your stored supporting PDFs, and your text size and typeface preference.
Can I run more than one business from the app?
Yes, as many as you like. Each company keeps its own logo, address, document numbering and prefixes, default terms, tax rate, clients, saved items, payment details, supporting PDFs, and W-9. One company is active at a time and the lists show its work only.
Can I turn an estimate into an invoice?
Open it and tap → INV in the bottom toolbar. Customer, line items, notes, and tax all come along, and the document is re-dated to today. Note that it keeps its existing number — if you want the estimate to survive and the invoice to take a fresh number, use Make a Copy first and convert the copy.
Can I attach my insurance certificate and license?
Yes. Store PDFs per company under Settings → Companies → Supporting Documents → Manage PDFs, up to 20 MB each, and pick them on the attachment screen when you email a document. Mark one as a default attachment and it's pre-selected every time. These files stay on the device you added them to — they aren't part of iCloud sync, so use a backup export/import to copy them to another device.
Can TradePay generate a W-9?
Yes — fill in the W-9 name, SSN or EIN, and tax classification under Settings → Companies → Supporting Documents, and draw your signature. TradePay fills the official IRS form, adds your signature and the date, and can email it alongside an invoice or on its own. Signature drawing is iPhone/iPad only; once drawn it syncs to your Mac.
Email doesn't work on my Mac.
On macOS, TradePay prepares the draft in Apple Mail, so Mail needs to be installed and configured, and macOS will ask once for permission to let TradePay control it (check System Settings → Privacy & Security → Automation if you declined). If you use a different mail client, use PRINT → Save as PDF or COPY → Copy as PDF and attach the file yourself.
What's the difference between archiving and deleting?
Archiving files a document into the Archived tab, where it stays indefinitely and stays searchable. It keeps counting toward your Billed and Collected history but drops out of Outstanding and receivables aging — so it's how you write something off without erasing it. Deleting is permanent and syncs that deletion to your other devices.
How do I move to a new iPhone or Mac?
Sign into the same iCloud account and your companies, clients, documents, and payments arrive on their own. Only your stored supporting PDFs and your text size preference need help: export a backup from the old device (Settings → Export Backup) and import it on the new one. Read the warning on the import screen first — importing replaces that device's data rather than merging.
Is my backup file safe to share?
No — treat it like tax paperwork. A TradePay backup is a plain JSON file containing your SSN or EIN, your signature image, every client's contact details, and your stored PDFs, all readable. Keep it somewhere private, and please don't email one to support.
Does TradePay collect any data about me?
None. There are no analytics, no advertising, no trackers, no accounts, and no servers of ours for the app to contact. Your data lives on your devices and in your own private iCloud. See the privacy policy.
Does it handle other currencies, due dates, or recurring invoices?
Not in this version. TradePay works in US dollars, receivables age from the issue date, and each document is written individually — though Make a Copy makes repeat work quick. If one of these matters to you, say so in an email; it's useful to know what people are actually waiting on.
I use Floored for takeoffs. Do they work together?
Yes. Floored can export a job straight into TradePay: it carries the customer and the measured material quantities over, matches the customer against your existing clients, and prices the lines from your saved items. Anything TradePay can't match arrives at $0.00 and is flagged on the review screen so you can fill it in. The handoff happens entirely on your device.
